This document is a collection of frequently asked questions for Fixed Assets and the answers to those questions.

What are the requirements for Installing Fixed Assets?

  • IBM Compatible Pentium® Class or greater processor.
  • Windows 95/98/2000/NT
  • 32MB RAM, 64 MB Recommended
  • 25MB Available hard drive space
  • Available serial port (COM or USB) Check with your scanner manufacturer.
  • For custom reporting or features, MS Access 2000
  • Palm Desktop Software must be installed before the Fixed Assets application

How do I install Fixed Assets?

Put the Fixed Asset CD in your CD-ROM Drive. Most computers will automatically load our Setup program. Then, simply follow the Setup instructions. If your computer does not automatically load the CD, open Windows Explorer and browse to the CD Drive. Select the Setup icon, and then follow the Setup instructions.

What happens when I receive the message, "Severe Error…Instaide was unable to determine the palm directory"?

This messages appears when the Palm Desktop Software is not installed. The Palm Desktop Software must be installed before the Fixed Assets application. If you do not have a copy of this software you can go to Palm's website and download it for free. After installing the Palm Desktop software, please re-install our application.

Do I need a copy of Access 2000?

To take full advantage of Fixed Assets and the features it offers, we recommend that you install the full version of MS Access 2000.  However, if you don't have a copy of MS Access 2000, you can can install a run-time version of Access 2000, which comes bundled on your Fixed Assets CD-ROM. 

Fixed Assets will only work with MS Access 2000 or greater.  If you are running an older version of Access, such as MS Access 97, you will receive an error when you try to run Fixed Assets.  You need to upgrade to Access 2000 or uninstall your older version and install the MS Access 2000 run-time file located on the Fixed Assets CD-ROM.

What if I have an older version of Access running on my computer?

The Fixed Asset application will not work. You have two options: The first is to upgrade to MS Access 2000. The second is to uninstall your older version of Access and install the run-time version of Access 2000. The run-time version of Access won't provide the full functionality you had with your older version of Access.  You might consider installing Fixed Assets on another computer that doesn't have any installations of MS Access if you opt to use the run-time file option.

How Do I import existing data from an Excel spreadsheet?

You can only import data that has the same data structure as that of Fixed Assets. The data structure is listed in the users manual. If you want to import a text file that is not in our format, you will first have to create a new sheet with our data structure, and save it as a CSV file. Then, transfer your existing data into the corresponding fields in the new file. After you have finished transferring your data, be sure to save your work. Now, from the Import/Export Data screen, make sure to choose 'Text File' as the file type and to indicate the appropriate 'Import Option' for this process. Finally, select 'Import Asset Database' after which, you will be asked to point to your data source. Then hit continue and the prompt will say, "Import execution complete". If you have relatively small files, the transaction time will be very fast!

How do I import existing data from an Access database?

What does it mean when the Fixed Assets handheld program tells me "You must HotSync with an open inventory before using the handheld application?"

You must HotSync with an open inventory so that all of your lookup information is downloaded to the handheld. This is the information that you entered via the PC. Follow these steps if you are having trouble creating an open inventory: Select the "Inventories" option and select "Create an Open Inventory." You will be required to provide an "Inventory ID" and a "Date," as well as the "Departments" that will be included in this inventory. In addition, you can provide a "Description" and any appropriate "Comments" that you feel are necessary. When you have entered all of this information, select "Create Inventory." The next step is to assign items to specific users. Select "Assign Items" and use the two windows to designate users and assign them items. When each user HotSync's their handheld, the assets that have been assigned to them will be downloaded to their handheld and they are ready to begin using the handheld application.

Why doesn’t any of the information I collect appear in my Asset database?

The answer to this question depends on which handheld application you are using. Fixed Assets - If you have an open inventory, all the data you collect is posted to your open inventory and you will not be able to see that data in the Asset database until you close the inventory. If this is the case, you are HotSyncing with a closed inventory. This means that your data is being posted to one of the inventories in the "Inventory Histories" window. Your handheld was never HotSynced before closing a past inventory. Your data is being posted to an older inventory that has since been closed. Check the past inventories listed in your inventory history window to see if your data has been uploaded to any of these. To do this, re-open them and then close them again. This will reconcile the changes back to the Asset database. Receiving - If you are using the Receiving module to collect information about your assets for the first time and you encounter this problem, you should check your conduit settings. To do this, open your HotSync manager by clicking on the icon in your system tray. Then choose Custom…>Fixed Assets Receiving>Change… and make sure that "Do Not Sync" is NOT checked.

How do I view my HotSync log?

Select the HotSync icon in your system trey, then View Log… or simply choose 'View Log' after completing a HotSync where the HotSync Dialog Box remains on the screen after completion.

Why are the barcodes NOT showing when I run the Asset labels report or the Location labels report?

The barcode fonts that come with Fixed Assets have not been installed properly. You will have to manually copy the barcode fonts that come with Fixed Assets into your Windows "Fonts" directory. To do so, go into your Fixed Assets directory (typically: C:\Program Files\Fixed Assets) and select True Type Font files w128h.ttf, w128hc.ttf, w128l.ttf, w128lc.ttf, w128m.ttf, and w128mc.ttf by left mouse clicking on one then holding down control and clicking on the other five. Now right mouse click on the files and select 'copy.' Now you have to paste these files into your Windows fonts directory. To do so, go into Settings>Control Panel>Fonts and then select Edit>Paste. Now the True Type Fonts should appear in your fonts directory. You can go back into Fixed Assets and re-run one of the label reports and the barcodes should be visible.

I have bar codes in my Asset/Location labels reports, but they contain the wrong information when I scan them?

First, use Windows Explorer and go to your WINNT\SYSTEM32 directory and look for the file bcxl32.dll. This file needs to be registered with the operating system for the barcodes to work correctly. Next select Start>Run from the Start menu and type in "regsvr32" and then drag and drop the bcxl32.dll file right next to it. Finally select "Ok." You should now get a dialog box telling you the file has been successfully registered. All of the bar codes in your reports should now work.

How do I delete Locations from the handheld? After I delete them from my PC, they reappear in my Asset database!

To delete information from the handheld, you have to do a reset within the application (Note: This is NOT a hard or soft reset of the Palm). Make sure that you have synced you palm at least once before you perform this operation so that you ensure none of your information is lost. On the handheld, tap the menu button, then options, and finally reset. You will encounter a warning message asking you if you are sure "you want to clear all data?" If you select "yes," all data within Fixed Assets on the handheld will be erased and the next time you use Fixed Assets on the handheld, you will receive the "No Open Inventory" message.
